1. Who we are
Sandra’s House EduCare provides educational support and works with Tutoring Made Easy, its Randpark Ridge Satellite Centre, to assist learners enrolled in home- and online-schooling programmes.
In this policy, “we”, “us” and “our” refer to Sandra’s House EduCare and Tutoring Made Easy when they process information for enrolment enquiries and related educational services. Sandra’s House EduCare is the primary privacy contact for these enquiries.
2. Scope of this policy
This policy applies to personal information provided through:
- Facebook and Instagram lead forms and advertisements;
- the Sandra’s House website and online contact forms;
- email, telephone and WhatsApp enquiries; and
- follow-up conversations about homeschooling support, tutoring or enrolment.
Meta Platforms, Inc. separately processes information about the use of Facebook and Instagram under Meta’s own privacy policy. This policy explains how we use the information that Meta sends to us after a person submits one of our forms.
3. Personal information we collect
Depending on the enquiry, we may collect:
- the parent or guardian’s name, telephone number, email address and suburb;
- the learner’s grade and limited educational information relevant to the enquiry;
- the learner’s curriculum provider, such as Impaq or CambriLearn;
- the preferred attendance option and intended starting date;
- the content of messages, calls or other correspondence; and
- basic technical or campaign information supplied by Meta or the website, such as the form or advertisement through which the enquiry was submitted.
4. Information about children
Our services relate to learners who may be under 18. Enquiry forms must therefore be completed by a parent, legal guardian or another person legally competent to provide information about the learner.
Please do not include medical information, diagnostic reports, identity numbers or detailed information about a learner’s disability or learning barriers in a Facebook or Instagram lead form. If this information becomes necessary, we will request it separately through an appropriate enrolment process.
5. Why we use personal information
We use personal information only where it is reasonably necessary to:
- respond to an enquiry and contact the parent or guardian;
- understand the learner’s grade, curriculum and support needs at an introductory level;
- determine whether our services and available attendance options may be suitable;
- provide information about fees, schedules, enrolment and centre visits;
- arrange a consultation, call or meeting requested by the parent or guardian;
- keep an accurate record of the enquiry and our response;
- protect our rights, comply with legal obligations and prevent misuse of our forms; and
- measure advertising results using aggregated or de-identified information where reasonably possible.
6. Our basis for processing information
We process enquiry information with the person’s consent, to take steps requested before a possible enrolment or service agreement, to comply with applicable law, and where necessary for legitimate educational and administrative interests that do not unfairly interfere with privacy.
Submitting an enquiry authorises us to contact the person about that specific enquiry. It does not automatically subscribe the person to unrelated promotional messages.
7. When we share information
Information may be shared only as reasonably necessary with:
- authorised Sandra’s House EduCare and Tutoring Made Easy staff who manage enquiries or enrolment;
- service providers that support communication, email, cloud storage, website hosting or administration;
- Meta, WhatsApp or other communication platforms used by the person and by us;
- professional advisers, regulators or authorities where required or permitted by law; and
- a curriculum provider or other education service provider only where this is necessary and the parent or guardian has been informed or has consented.
We do not sell personal information.
8. Storage and transfers
We take reasonable steps to store information securely and restrict access to people who need it for their work. Some technology providers, including Meta and cloud or communication services, may process information outside South Africa. Where this occurs, we use the services subject to their privacy and security terms and take reasonable steps to ensure that personal information remains protected.
9. Security
We use reasonable technical and organisational safeguards appropriate to the information and the size of our operations. These may include access controls, password protection, restricted staff access, secure devices, appropriate backups and the deletion of information that is no longer required.
No online service is completely risk-free. If we become aware of a security compromise involving personal information, we will take reasonable steps and provide notifications where required by law.
10. How long we keep enquiry information
Enquiry information is normally retained for up to 12 months after the last meaningful contact, unless a longer period is reasonably necessary for legal, safeguarding, administrative or dispute-resolution purposes.
If a learner enrols or receives services, relevant information becomes part of the enrolment or client record and may be kept for a longer period in accordance with our agreements, operational needs and legal obligations. Information that is no longer required will be deleted, securely destroyed or de-identified where reasonably practicable.
11. Direct marketing
We may follow up on the service or enrolment enquiry that a person submitted. We will not use the enquiry to send unrelated electronic marketing unless consent has been provided or another lawful basis applies.
A person may ask us to stop promotional communication at any time by replying “STOP” or contacting us using the details below. Service-related communication about an active enquiry or enrolment may still be sent where necessary.
12. Your privacy rights
Subject to the Protection of Personal Information Act 4 of 2013 (POPIA) and other applicable law, a person may:
- ask whether we hold personal information about them or their child;
- request access to, or correction of, personal information;
- object to certain processing or withdraw consent where processing is based on consent;
- request deletion or restriction where the information is no longer required or has been processed unlawfully; and
- lodge a complaint with us or with the Information Regulator South Africa.
We may need to verify the identity and authority of the person making a request before releasing or changing information.

15. Changes to this policy
We may update this policy when our services, systems or legal obligations change. The latest version will be published on the Sandra’s House website with its effective date.
